How We Handle Your Booking Information

When you submit a rental appointment request, we collect:

• your name, phone number and email address;
• an optional student UID;
• your selected plan, preferred date and time, and notes;
• passport and visa PDF files for identity and eligibility checks;
• your WhatsApp consent status and submission time; and
• technical security information needed to validate the form and prevent spam or abuse.

If you contact us by phone, email or WhatsApp, we also receive the information you choose to include in that conversation.

We use this information to:

• review and respond to your appointment request;
• verify identity and rental eligibility;
• prepare rental, billing and service records;
• send the booking and service messages you agreed to receive;
• support, maintain and recover rental equipment; and
• protect customers, the business and the booking system from misuse.

If required information is not supplied, we may be unable to verify or complete a rental booking.

Booking data is sent to E-Bikes Express's private operations system and authorised booking email account. Passport and visa PDFs are access-controlled and are intended only for rental verification and administration.

We may use service providers that support website hosting, form security, document transmission, email and business operations. Those providers receive only the information needed to perform that function. We may also disclose information when required by law or to address fraud, safety or security incidents.

The form uses Cloudflare Turnstile to distinguish genuine requests from automated abuse. Turnstile may process technical request data under Cloudflare's own privacy terms.

We use access controls, encrypted web connections, validation and anti-abuse checks to reduce the risk of unauthorised access or disclosure. No internet transmission or storage method can be guaranteed completely secure.

We keep personal information only for as long as it is reasonably needed for the rental, operational, safety, dispute and legal or record-keeping purposes that apply. When it is no longer needed and no law requires its retention, we take reasonable steps to delete or de-identify it.
